Transport Office Coordinator

Running the transport office booking systems and supporting the treasurer in the management of the financial accounting system. Being the first point of contact for general office issues, supported by the trustee responsible for the office.

Driving the minibuses is not required.

We are seeking a well-organised individual with excellent computer and office skills, preferably with basic knowledge of accounting practices.

20 hours/week.  £25,183 pro rata.  Salary Band 6 SCP 6 NJC scale (under review from 1 April 2025).

Role Description

Main Duties and Responsibilities

  1. To run the minibus booking system and be the point of contact for hire needs, processing these from initial enquiry to allocating buses and organising drivers, liaising with the Minibus Coordinator for more complex needs.
  2. To oversee and support the car lift scheme operation as needed with the help of the office volunteers.
  3. To manage the volunteer records system to ensure that existing and new volunteers are appropriately recruited, trained and supported, meeting all legal requirements.
  4. Collating monthly vehicle trip data for invoicing and reporting purposes.
  5. Receipt cash and cheques and pay into the post office.
  6. Check payment documents including fuel receipts, expenses and invoices. Arrange for trustee approval and payment by the treasurer.
  7. Work with the treasurer to:
    • Make financial entries to the accounts system, including payments in and invoices received.
    • Check mileage record entries and customer invoices before sending out
    • Reconcile the bank account.
    • Check on payments due and chase up as necessary.
  8. General administration to enable the smooth running of the office.
